This position is located at the Mount Sinai Fertility Clinic: 250 Dundas Street West, Toronto, ON.

We are an ambulatory unit, open 7 days a week with 3 satellite locations in the Greater Toronto Area. Our average annual number of treatment cycles is 3,400. As a teaching hospital, we help train the next generation of fertility professionals. We offers a wide range of fertility treatments including: Cycle Monitoring, Timed Intercourse, Intrauterine Insemination (IUI), In Vitro Fertilization (IVF), Intracytoplasmic Sperm Injection (ICSI), Pre-Implantation Genetic Testing (PGT), Frozen Embryo Transfer (FET), Medically Indicated Fertility Preservation, Egg Freezing and Sperm Banking.

In this role you will:

Follow-up on messages that pertain to secretarial role
Pull charts for daily clinics and make sure all results filed on chart
Book patient appointments for clinics or procedures as required
Retrieve laboratory blood, RIS x-ray and Beta HCG pregnancy results from outside labs and Cerner
Update personal information in Cerner and CIS when patient makes changes
Dismantle charts post IVF/Sperm Wash cycle
Record minutes for secretarial staff meetings when required
Purge and archive charts at recall
Sort daily mail including lab results
Assist other secretarial staff with: validate OHIP health cards and MSH cards, register all ambulatory visits in Cerner/PM Launch, daily OHIP billing in CIS computer system
Set up of IVF and Sperm Wash day 1 charts as required
Review and transfer messages to nursing staff/physicians/laboratory staff with patient chart for follow-up
Prepare charts for new patient referrals as required
File laboratory reports, operative reports, medical imaging reports, ultrasound reports etc.
Pull charts for abnormal blood result to be reviewed by physicians and nursing staff
Complete blood checklist for all patients entering the IVF, Sperm Wash, Donor Programs
Answer patient lines and direct calls, take messages, book appointments and process referrals as necessary
Prepare blood requisitions for clinic appointments and to mail to patients
Retrieve patient charts and release of information documents that are to be sent to other physician’s offices
Job Requirements

Job Requirements:

Mandatory

Successful completion of a diploma or degree from an accredited educational institution, with preference given to those who have graduated from a Medical Secretary program.
One (1) year of recent office support experience, preferably in a healthcare setting.

Skills and Knowledge

Excellent Medical dicta-typing skills
Proficient in Microsoft Word, Excel, Outlook and Appointment Scheduler
Excellent and effective problem solving and time management skills
Ability to work accurately and effectively in a fast pace/ high stress environment
Ability to communicate and read using English in order to effectively perform essential requirements of this position
Demonstrated customer service skills and ability to sensitively communicate with patients/families in vulnerable situations
Demonstrated initiative and creativity and flexibility
Demonstrated satisfactory work performance and attendance history
