About the Role
We are seeking a highly organized and detail-oriented Executive Support Specialist to join our team at Denny's Fort St John. As an Executive Support Specialist, you will provide administrative support to senior leaders and contribute to the smooth operation of our organization.
Responsibilities
- Arrange and coordinate events, meetings, and conferences, ensuring seamless logistics and timely execution.
- Prepare and distribute meeting minutes, reports, and other materials, maintaining accurate records and high-quality documentation.
- Determine and establish office procedures and routines, streamlining processes for improved efficiency and productivity.
- Schedule and confirm appointments, ensuring optimal use of time and resources.
- Handle incoming calls, emails, and messages, providing prompt and professional responses to internal and external stakeholders.
- Analyze data, statistics, and information, identifying trends and insights to inform business decisions.
- Order office supplies and maintain inventory levels, ensuring a well-stocked and functional workspace.
- Negotiate collective agreements on behalf of employers or workers, demonstrating effective communication and conflict resolution skills.
- Arrange travel itineraries, book reservations, and make travel arrangements, ensuring smooth and hassle-free experiences.
- Welcome guests, direct them to relevant contacts or services, and ensure a positive first impression.
- Set up and maintain manual and computerized filing systems, ensuring easy access to important documents and information.
- Type and proofread correspondence, forms, and other documents, maintaining high standards of accuracy and quality.
- Participate in recruitment and hiring processes, contributing to the development of a skilled and diverse workforce.
- Evaluate work environments, programs, and procedures to identify areas for improvement and promote a culture of safety and well-being.
- Plan, organize, direct, control, and evaluate daily operations, ensuring alignment with organizational goals and objectives.
Requirements
- Secondary (high) school graduation certificate or equivalent experience.
- 1 year to less than 2 years of experience in a similar role, with a proven track record of success.
