About the Role:
We are seeking a highly skilled and organized Site Administrator to join our team at BrandSafway. As a key member of our operations team, you will be responsible for providing administrative support to our site supervisors and ensuring the smooth operation of our industrial site.
Key Responsibilities:
- Collaborate with the team to prioritize daily tasks and meet deadlines related to payroll, tag management, and billing.
- Compile and input large volumes of data, complete multiple checks and balances to confirm accuracy.
- Payroll duties including verifying daily timesheets, time entry, balancing and reconciliation, processing new hires, and termination forms.
- Balance hours with customers on a daily basis.
- Update scaffold logs, productivity logs, and track equipment movements.
- Create and update scaffold and insulation tags in databases.
- Verify Purchase Orders and Work Orders.
- Billing for multiple customers based on contract frequency and requirements.
- Monitor billing status, track when invoices are uploaded, approved, and paid.
- Create, maintain, enhance, and troubleshoot various Excel workbooks.
- Respond to customer requests and inquiries.
- Provide reports to supervisors/customers as required.
- Provide support for all site supervisors.
- Create and maintain accurate onsite electronic and paper files.
- Provide all other general administrative and clerical support including filing, scanning, and copying.
Requirements:
- Post-secondary education and/or 2 years of related experience.
- Experience in an industrial setting is considered an asset.
- Health & Safety training is considered an asset.
- Advanced working knowledge of Microsoft Office including Excel and Word.
- Excellent written and verbal communication skills.
- High level of speed and accuracy with data entry.
- Strong time management and organization skills to meet various competing deadlines.
- Ability to interpret a variety of instructions (i.e. written, oral, diagram, or schedule form).
- Ability to self-motivate.
- Ability to work within a team and build a positive team environment.
- Ability to adapt to a fast-paced, ever-changing work environment with competing demands.
- Ability to display sound and accurate judgment, with the ability to resolve problems in a timely manner.
