Job Summary

We're seeking a highly skilled Human Resources Generalist to join our team in Leamington, ON. As a key member of our HR department, you'll play a critical role in supporting our Temporary Foreign Worker Program, including onboarding and offboarding processes, employee relations, employee development, and conflict resolution.

Key Responsibilities

  • Coordinate and conduct orientation training, ensuring a smooth onboarding process for new employees.
  • Manage communication channels between the TFW department and guest workers, updating contact information and WhatsApp groups as needed.
  • Administer LMIA applications, work permit extensions, and visa applications.
  • Guide management and supervisors through the progressive discipline process, drafting incident and warning reports.
  • Record incidents, conduct investigations, and document meetings thoroughly.
  • Support compliance with the Temporary Foreign Worker Program, staying up-to-date on existing and new legislation.
  • Apply for contract renewals, work permits, and visa extensions, tracking applications and paperwork.
  • Coordinate travel arrangements for guest workers, creating calendar events and informing workers about travel itineraries.
  • Review and update HR procedures, training materials, and SOPs as needed.
  • Follow all procedures, including pre-arrival and post-arrival processes, completing necessary documentation and administration.
  • Support employee inquiries and complaints, providing excellent customer service and acting as a liaison between employees and management.
  • Conduct ongoing departmental training as required.
  • Initiate, participate in, and support continuous improvement initiatives.
  • Monitor guest workers' information using the HR database, internal systems, and physical filing systems.
  • Support the TFW team in the rotative schedule to receive workers at arrival and departure points.
  • Be part of the rotative schedule to respond to after-hour calls and prioritize matters that require attention.
  • Assist with administering payroll deductions and ensuring payroll deduction forms are completed if applicable.
  • Oversee and administer employee benefits programs, supporting health and safety practices and recommending modifications as needed.
  • Support the TFW Support Representative with Health Unit Housing Inspections, ensuring compliance with government requirements.
  • Assist in submitting maintenance work orders and tracking their completion.
  • On occasion, assist in reviewing weekly uniform invoices and documenting them on a spreadsheet.
  • Provide support with insurance claims and balance bills at the end of each month.
  • Provide translation to different departments as needed.
  • Assist with company events, such as the Annual Christmas Party and Employee Appreciation Event.
  • Support identifying work-related or performance challenges to improve employee relations and work performance.
  • Assist and support with worker performance appraisal programs.
  • Monitor work orders and their completion.
  • Actively initiate, participate in, and support continuous improvement initiatives.
  • Ensure adherence to the confidentiality policy at all times.
  • Comply with all Health and Safety, Food Safety, Bio Security, and Nature Fresh Policies and Procedures.

Requirements

  • 1+ years' HR experience, preferably with TFW Programs in a dynamic, fast-paced, high-volume environment.
  • Proficiency in Microsoft 365 applications.
  • Fluency in Spanish and English is required.
  • Excellent verbal and written communication skills, with the ability to develop and maintain relationships of trust with individuals at all levels of the organization.
  • Strong problem-solving skills to analyze and solve problems and any unforeseen complications that could arise.
  • Ability to prioritize and multi-task, with strong organizational skills and attention to detail.
  • Valid driver's license and personal vehicle are required.
  • Available to work Monday-Saturday, with after-hours work required at times.

Working Conditions

  • The HR TFW Generalist works Monday – Friday, afterhours, holidays, and rotational on-call weekends as required.

Physical Requirements

  • Working conditions are normal for an office environment, but some responsibilities require warehouse, greenhouse, and bunkhouse work.
  • Occasional requirements for lifting, bending, pushing, and pulling throughout the day.
  • The ideal candidate must be able to complete all physical requirements of the job with or without a reasonable accommodation.
