Job Summary
The Executive Assistant to the Board of Directors at WoodGreen is a critical role that requires exceptional organizational skills, attention to detail, and the ability to maintain confidentiality. This position directly reports to the President and CEO and supports the work of the Boards of Directors and related committees.
Key Responsibilities
  • Coordinate all board and committee meetings, ensuring timely preparation and distribution of agendas, notifications, and advance reading material.
  • Attend and record all meetings of the board and committees, maintaining accurate minutes and ensuring they are conducted in accordance with relevant governance standards.
  • Manage meeting logistics, including developing work plans and calendars, and preparing and maintaining minutes, bylaws, policies, and other public and confidential documents.
  • Communicate decisions, actions, and important information following board and committee meetings to the appropriate individuals or stakeholders.
  • Work closely with the board on governance policies and processes, staying up-to-date on current trends and best practices.
  • Develop and implement effective governance policies and processes, providing recommendations as needed.
  • Maintain the Boards of Director's Roster and organize periodic strategic retreats, managing logistics and preparing agenda and retreat documents.
  • Support the Marketing & Communications Department with Annual General Meetings.
  • Administer and update the board information portal, ensuring transparency of board policies, activities, and decisions.
  • Coordinate orientation for new board members and ongoing education for all board members.
  • Manage internal and external correspondence and inquiries relating to the boards and the President & CEO.
  • Identify and implement technology solutions to support Board meetings, recordings, and documentation.
Requirements
  • Bachelor's degree in Administration, Change Management, Human Resources, or a related field.
  • 8 years of related experience.
  • Superior office management skills, with proficiency in MS Office and office management software.
  • Demonstrated communication skills, with excellent written and verbal abilities.
  • Ability to manage competing demands and prioritize tasks effectively.
