Associate University Secretary

We are seeking a highly skilled and experienced Associate University Secretary to join our team at Meridia Recruitment Solutions.

The Associate University Secretary will serve as the associate corporate secretary to the Board of Governors and its committees, providing delegated authority to act in the University Secretary's absence. This role is responsible for organizing and monitoring all Board committee and subcommittee work, managing day-to-day operations, and maximizing resources to achieve a solid governance framework.

The successful candidate will have a thorough knowledge of developments in areas related to committee mandates, briefing chairs and executives, coordinating meeting preparation, and ensuring accurate records. They will also provide high-quality service to leadership and maintain confidentiality.

Responsibilities:

  • Receiving and directing proposals through the governance process, ensuring effective decision-making.
  • Providing advice on compliance with legislation and good governance practices.
  • Drafting, revising, and interpreting university policy and procedures.
  • Supporting the Board's nomination process and advising on governance rules and procedures.
  • Acting as a delegate to the University Secretary and coordinating Board activities.
  • Maintaining institutional memory and coordinating communication with the university community.
  • Providing day-to-day management of Secretariat staff.

Requirements:

  • Undergraduate degree in Public Policy, Public Administration, or a related field preferred.
  • Graduate degree in a related field considered an asset.
  • Related experience in governance, preferably in post-secondary education.
  • Comprehensive understanding of university regulations and policies.
  • Experience drafting governance documents and providing advice based on sound practices.
  • Excellent organizational, time management, and prioritization skills.
  • Excellent attention to detail and ability to adapt to shifting priorities.
  • Proficient use of Microsoft Office products, G Suite, and Adobe Acrobat Pro.
  • Ability to work fluently in both official languages, French and English.

Estimated Salary: $80,000 - $110,000 per annum
