Job Title: Clerical Support Specialist

We are seeking a highly organized and detail-oriented Clerical Support Specialist to join our team at School District #63 (Saanich). As a key member of our administrative staff, you will provide critical support to our Distance Education department.

Key Responsibilities:
  • Provide administrative support for Distance Education department, including registration processes, account creation, and technical issue resolution.
  • Liaise with District IT support and Ministry of Education to resolve technical issues and provide summer reporting final grades.
  • Coordinate sending, receiving, and distribution of internal and external mail processes.
  • Maintain events calendar, including booking rooms within the building.
  • Adapt grade submission process to accommodate larger numbers of students.
  • Liaise with public and private post-secondary institutions to clarify student status and course registration.
  • Provide documentation to legal offices for educational verification.
  • Generate reports, assist with data collection, and complete letters.
  • Manage student information and course resources, maintain electronic and physical files, scan and copy materials, and process student resource requests.
  • Submit reports to institutions and students on withdrawal processes using School and Ministry databases.
  • Receive inquiries in person, by telephone, and email, process resource pick-ups, deposits, and returns, and book appointments.
  • Coordinate tests, both in-house and for other institutions, and provide support for provincial exams.
  • Coordinate school billing (tuition for courses, etc.) and payment processes (e.g., student deposits/tuition, banking reports, petty cash requests, etc.).
  • Provide administrative support, including assisting administrators, counsellors, and teachers with clerical support, maintaining handbooks, creating contact lists, creating master forms, maintaining events calendars, assisting in production of course development resources, and assisting counsellors with grad checks and student learning plans.
  • Attend on-site clerical and other staff meetings as required and record minutes.
Requirements:
  • Grade 12 education
  • Office Administration Certificate
  • Two years of related experience
  • Minimum word processing speed 50 W.P.M.
  • Working knowledge of general office procedures
  • Working knowledge of the BC Graduation Requirements
  • Working knowledge of Ministry requirements for 1701 and SADE data collection and school/district/ministry reporting procedures
  • Working knowledge of electronic information systems (Student Information Systems and DL Learning Management Systems)
  • Working knowledge of hardware/software required for school information and reporting processes
Desirable Skills:
  • Knowledge of Distance Education procedures
  • Demonstrated effective communication skills
