Job Summary

We are seeking a highly organized and detail-oriented Human Resources Assistant to join our team at School District #40 (New Westminster). As a key member of our HR department, you will provide administrative support to our Executive Director of Human Resources and assist with various HR-related tasks.

Key Responsibilities
  • Coordinate and dispatch teachers and casual support staff
  • Enter absences into the absences tracking database system in a timely and accurate manner
  • Perform clerical tasks related to human resource service functions, including recruitment activities, employee orientation, and service recognition
  • Prepare correspondence related to staff appointments, leaves, and retirements
  • Maintain the Personnel Resource Management (PRM) database and provide reports
  • Conduct orientation sessions for new employees
  • Ensure seniority lists are up to date and accurately calculate dates
  • Coordinate the Criminal Record Search process
  • Maintain HR business files and individual employee files
  • Liaise with accounting and payroll departments
  • Assist with developing systems and procedures to ensure accurate HR records
Requirements
  • Grade 12 graduation and completion of a post-secondary diploma in human resource systems or business administration
  • Minimum of 4 years of progressively more responsible senior secretarial and administrative experience, one year of which was in human resource or personnel department
  • Certified Human Resource Professional (CHRP) designation would be an asset
  • Excellent command of the English language, including superior grammar and proof-reading skills
  • Minimum of one year demonstrated experience in recording and transcribing accurate minutes
  • Thorough understanding and experience in working with accounting and payroll processes
  • Exceptional interpersonal and communication skills
  • Advanced computer skills with MS Word, Excel, PowerPoint, Access, and FrontPage
  • Ability to maintain confidentiality and work with discretion
  • Self-directed, pro-active team player
  • Ability to work in a constantly changing, fast-paced environment
Working Conditions

This is a temporary position with the possibility of extension. The successful candidate will work 40 hours per week, Monday to Friday, at $37.55 per hour.
