Job Summary

We are seeking a highly organized and detail-oriented Clerical Support Specialist to join our team at the Provincial Health Services Authority. As a key member of our Regional Programs team, you will provide administrative support to a multi-disciplinary team, ensuring the smooth operation of our Forensic Psychiatric Services.

Key Responsibilities
  • Provide clerical support services, including transcribing medical dictation, operating a multi-line switchboard, and maintaining data using spreadsheet and database software.
  • Maintain client charts, schedules, and records, ensuring accuracy and completeness.
  • Transcribe medical dictation, including correspondence and reports, according to pre-set formats and deadlines.
  • Provide reception services, including operating a multi-line switchboard, responding to inquiries, and redirecting callers to appropriate personnel.
  • Process referrals, enter client data into computer systems, and maintain client charts according to established procedures.
  • Coordinate and prepare client charts for off-site storage.
  • Maintain schedules, perform event and program tracking, and provide reminders to applicable staff as needed.
  • Type a variety of non-technical material, including general correspondence, forms, lists, memorandums, and notes.
  • Arrange meetings, book meeting rooms, and distribute notices and agendas.
  • Maintain records, data, rosters, and other information, ensuring accuracy and completeness.
  • Maintain supplies, including stationery, office, and client supplies, and arrange for repair and maintenance of office equipment and furniture as needed.
  • Perform a variety of clerical functions, including operating a facsimile and/or photocopier, and distributing information as requested.
Requirements
  • Grade 12 graduation from an approved program in medical transcription and one (1) year of recent, related experience, or an equivalent combination of education, training, and experience.
  • Ability to communicate effectively both verbally and in writing.
  • Commitment to upholding the shared responsibility of creating lasting and meaningful reconciliation in Canada, as per TRC and BC's Declaration on the Rights of Indigenous Peoples Act.
  • Knowledge of social, economic, political, and historical realities impacting Indigenous communities and familiarity with Indigenous Cultural Safety and anti-racism and accompanying reports (BC DRIPA, TRC, etc.) is an asset.
