Job Description

We are seeking an experienced Executive Assistant to provide administrative support and coordination at Bud Mart.

Key Responsibilities
  • Administrative Support: Provide high-level administrative assistance to the management team, including preparing reports, managing schedules, and coordinating travel arrangements.
  • Coordination: Coordinate events, seminars, and conferences, ensuring seamless execution and timely completion of tasks.
  • Team Supervision: Supervise a small team of administrative staff, providing guidance and support to ensure effective performance and achievement of goals.
  • Policies and Procedures: Develop, implement, and maintain policies and procedures to ensure operational efficiency and effectiveness.
  • Training and Development: Provide training and development opportunities to administrative staff to enhance their skills and knowledge.
  • Contract Management: Manage contracts with vendors and suppliers, ensuring compliance with company policies and regulations.
  • Customer Service: Provide exceptional customer service to internal and external stakeholders, responding promptly to inquiries and resolving issues efficiently.
  • Staff Recruitment and Management: Recruit, hire, and manage administrative staff, ensuring the right talent is hired for the role.
  • Bookkeeping and Financial Management: Perform basic bookkeeping tasks, including accounts payable and receivable, and manage financial records to ensure accurate and timely reporting.
Work Environment

The successful candidate will work in a fast-paced environment with multiple deadlines and priorities. They will be required to work independently, as well as collaboratively with the management team and other departments.

Requirements
  • Education: Secondary (high) school graduation certificate or equivalent.
  • Experience: At least 6 months of experience in a similar role.
  • Skills: Excellent communication and interpersonal skills, with the ability to build strong relationships with stakeholders.
  • Technical Skills: Proficient in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Other Requirements: Ability to multitask, prioritize tasks, and work under pressure to meet deadlines.
