Job Summary

We are seeking a highly skilled Senior Administrator to join our Toronto, ON office. This role will provide administrative support to our Principals, facilitating day-to-day tasks and projects, and ensuring seamless execution of our operations.

Key Responsibilities
  • Coordinate project start forms, conflict checks, engagement letters, and proposals with Principals
  • Manage monthly invoicing and project budgets with Project Managers and/or Associates assigned to cases
  • Oversee project files, including contracts, confidentiality agreements, and ensure timely signing by all parties
  • Document production, including proposals, erratas, subpoenas, affidavits, and testimony, with editing and proofreading support as needed
  • Coordinate extensive domestic and international travel for Principals and other team members to client meetings and marketing opportunities
  • Prepare and submit expense reports and assist Principals with expense approvals
  • Manage Principals' calendars, suggesting ways to maximize their time and prioritize tasks
  • Work closely with Principals to manage their contacts and provide administrative support
  • Coordinate meetings, prepare agendas, create PowerPoint slides, and attend meetings, documenting and distributing action items as needed
  • Collaborate with other offices and departments to ensure project or corporate obligations are met
  • Provide backup support and coverage for the Office Manager as needed
Requirements
  • Bachelor's Degree preferred; experience in lieu of degree considered
  • Minimum three years of executive/senior-level administrative experience, preferably in a professional services field and team environments
  • Project coordination experience desired
  • Advanced knowledge of Microsoft Word, PowerPoint, and Outlook required; solid understanding of MS Excel expected
  • Database and budget tracking experience expected
  • Familiarity with CRM database software preferred
  • Ability to thrive in a fast-paced office environment handling multiple tasks and demands concurrently
  • Strong professional communication skills, both written and oral
  • Acute attention to detail skills and the ability to produce visually appealing, error-free work required
