Job Title: Front Office Coordinator

We are seeking a highly organized and detail-oriented Front Office Coordinator to join our team at Brandt, a leading manufacturing and distribution company.

About the Role:

This is a part-time Receptionist position based at our Ayr Brandt Peterbilt location. As a Front Office Coordinator, you will be responsible for providing exceptional customer service, managing front office duties, and supporting departmental activities.

Key Responsibilities:
  • Respond to phone calls, emails, and in-person inquiries from clients, candidates, and other parties
  • Refer all inquiries to the appropriate individuals, divisions, or departments across the organization
  • Type forms, letters, reports, and memos as necessary
  • Receive and distribute all forms of paper correspondence
  • Assist in compiling data for various reports when required
  • Coordinate logistics for departmental programs, such as meetings, seminars, workshops, special projects, and events
  • Arrange and book meetings in boardrooms, off-site conference halls, and other locations; ensure presentation equipment is available
  • Present a positive and professional image of the organization to all visitors, suppliers, inquiries, and interactions
  • Provide information to staff and/or clients about special activities
  • Manage inbound/outbound mail, including priority post, packages, courier services, and other correspondence
  • Maintain the reception area in a tidy and presentable manner
  • Ensure office supplies are stocked and procured at the best possible price
  • Coordinate employee coveralls with the vendor of choice
Requirements:

To succeed in this role, you will require:

  • Working knowledge of Microsoft Office
  • Strong organizational skills
  • Knowledge of general office procedures involving procurement, travel arrangements, budget management, etc.
  • Able to write simple correspondence, including memos, letters, etc.
  • General mathematical skills
  • Ability to apply understanding to carry out instructions in written, verbal, or diagram form
  • Able to maintain filing systems and basic databases
  • Excellent analytical and problem-solving skills
  • Meticulous records maintenance skills
  • Superior telephone manners and strong interpersonal skills
  • Strong written and verbal skills to communicate with all levels of the organization and its executive team
Preferred Qualifications:

Experience working on a multi-line switchboard is considered an asset.

Salary and Benefits:

The estimated salary range for this position is $45,000 - $55,000 per annum, depending on experience. Additionally, you can expect a comprehensive benefits package, including health insurance, retirement savings plan, and paid time off.
