Job Summary: We are seeking an experienced Administrative Assistant to join our team at POWER HOODS SYSTEMS INC. as an Administrative Support Specialist. This role will be responsible for providing administrative support to our team, ensuring the smooth operation of our office.
Key Responsibilities:
- Coordinate the flow of information within the team, ensuring timely and accurate communication.
- Open and distribute mail and other materials, maintaining a well-organized workspace.
- Schedule and confirm appointments, meetings, and events, ensuring seamless coordination.
- Answer telephone and relay telephone calls and messages, providing exceptional customer service.
- Answer electronic enquiries, responding promptly and professionally.
- Compile data, statistics, and other information, analyzing and presenting findings.
- Order office supplies and maintain inventory, ensuring a well-stocked and efficient workspace.
- Arrange travel, related itineraries, and make reservations, streamlining business travel.
- Greet people and direct them to contacts or service areas, providing a warm and welcoming experience.
- Set up and maintain manual and computerized information filing systems, ensuring accurate and up-to-date records.
- Type and proofread correspondence, forms, and other documents, ensuring error-free and polished communication.
- Maintain and manage digital databases, ensuring secure and efficient data storage.
