Job Overview

We are seeking a highly skilled Contract Administrator Coordinator to join our Economic Development and Culture Division. This role will play a key part in supporting the administration of contract-related tasks and ensuring compliance with divisional standards and requirements.

Key Responsibilities
  • Provide general assistance to administrators in the Community Improvement Plan Incentive Programs department.
  • Coordinate the receipt of new applications, review for completeness, and maintain tracking databases.
  • Arrange RFPs, RFQs, RPGSs, or other documents necessary for third-party consultant reviews.
  • Complete draft templates of financial agreements and other legal documents as required.
  • Liaise with Legal Services to track completed agreements and registration information.
  • Collaborate with Corporate Finance, Revenue Services, and Accounts Payable for timely grant payments and schedules.
  • Perform annual compliance reviews, coordinating with other City Divisions.
  • Arrange consulting contracts for site visits, IMIT Program Reviews, or auditing activities.
  • Track and report grant recipient employment activity, managing Salesforce reporting interfaces.
  • Report administrative fees, notifying applicants and coordinating with Toronto Buildings and Revenue Services.
  • Represent the Business Retention and Expansion team at meetings to ensure compliance with Divisional standards/requirements.
Requirements
  • Considerable experience in contract administration support, including RFPs, RFQs, RPGSs, audit reports, and annual compliance reviews.
  • Proficiency in accounting software (SAP), MS Office Suite (Word, Excel), and Customer Relationship Management Software (Salesforce).
  • Experience with financial reporting policies and procedures, including accounts payable and vendor account applications.
  • Ability to prepare complex reports and communicate effectively at all organizational levels.
  • Highly developed interpersonal skills and well-developed written and oral communication skills.
  • Able to plan, prioritize, and organize assignments while working with minimal supervision.
  • Familiarity with Accessibility for Ontarians with Disabilities Act (AODA) and Occupational Health and Safety Act regulations.
  • Support the Toronto Public Service values to ensure a respectful workplace culture.
Working Conditions

This role is based in Toronto, working Monday to Friday, 35 hours per week. The salary for this position is $40.11 - $44.20 per hour, Wage Grade 11. The posting period is from November 26, 2024, to December 10, 2024.
