Job Title: Office Operations Manager

About the Role

We are seeking an experienced Office Operations Manager to join our team at Insight Global. As a key member of our Montreal office, you will be responsible for ensuring the smooth operation of our daily activities.

Responsibilities:

  • Coordinate lunch catering and manage the studio-provided lunch service
  • Serve as the main point of contact for employees and vendors regarding all local facilities issues
  • Update and maintain the office intranet page
  • Coordinate shipping and receiving of boxes and letters to and from the office
  • Manage incoming facilities tickets within the Jira ticketing system
  • Oversee the ordering of supplies for the office and perform risk and hazard assessments
  • Lead Workplace Health, Safety, and Environment initiatives for the local office, implementing global and/or regional programs as mandated by law or policy
  • Implement global and/or regional Facilities programs and policies as required
  • Manage the day-to-day office budget, providing analysis as needed, and is held accountable for studio facilities budget
  • Negotiate directly with local vendors to provide proper services and supplies to the office as needed
  • Act as the office liaison for building engineers and outside vendors, including program vendors, waste management, pest control, internal and external building repairs and maintenance, landscaping, and utilities where needed
  • Manage the local physical security system and continuously follow global security policy
  • Manage space planning for the office and coordinate the setup for new employees
  • Interact with internal customers and guests daily through managing all incoming telephone calls for the office, assisting with shipping and receiving, coordinating catering, and other receptionist tasks

Requirements:

  • Requires attention to detail and extensive experience in most responsibilities listed
  • Advanced skills for developing systems and processes for smooth office operations
  • Familiarity with office applications; prior experience with Google Suite, Slack, Zoom, MS Office, and Google Docs
