Service Admin Coordinator Opportunity
We are seeking a highly organized and customer-focused individual to fill the role of Service Admin Coordinator at Levitt-Safety. As the first point of contact at our Fort McMurray branch, you will play a vital role in representing our company and providing exceptional support to our customers.
About the Role
- Provide administrative support to our Service Administration Supervisor and team members, ensuring seamless day-to-day operations.
- Manage front office duties, including ordering and inventory of stationery and coffee supplies, maintaining a well-stocked and organized workspace.
- Assist with scheduling, purchase orders, warehouse transfers, and ordering of parts and materials, streamlining our logistics and supply chain.
- Handle billing and invoicing, and assist with quotes for our Fire & Life Safety Equipment, Vehicle Suppression, and Instrumentation divisions, ensuring accurate and timely financial transactions.
- Manage data entry, scanning, and filing of all documentation, maintaining accurate and up-to-date records.
- Communicate with warehouse technicians regarding service orders, ensuring timely and efficient completion of tasks.
- Provide summaries and contract requirements to customers, ensuring clear and concise communication.
- Perform other administrative functions as needed, adapting to changing priorities and responsibilities.
Requirements
- Minimum of 2 years' experience in Service Administration or Customer Service, with a proven track record of providing exceptional support.
- Computer/technology savvy with excellent organizational skills, able to navigate our systems and software with ease.
- Detail-oriented with the ability to multitask and work with a sense of priority, managing multiple tasks and deadlines with ease.
- Excellent customer service skills and telephone manner, providing a positive and professional experience for our customers.
- Ability to work in a fast-paced environment and meet deadlines, adapting to changing circumstances and priorities.
- An exceptional willingness to learn and a positive attitude, embracing new challenges and opportunities for growth.
