Project Coordinator Job Description

We are seeking a highly organized and detail-oriented Project Coordinator to join our Creative team at Ajax Creative Inc. This role requires a strong understanding of project management principles and the ability to coordinate logistics, including travel coordination, accommodations, and scheduling talent.

Key Responsibilities
  • Assist in the development and implementation of project plans, including timelines, budgets, and resource allocation.
  • Help coordinate logistics, including travel coordination, accommodations, creating work back schedules, obtaining permits, and scheduling talent.
  • Creating, updating, and distributing key documents, such as contracts, crew lists, progress reports, call sheets, and schedules.
  • Oversee and manage file organization, ensuring all production and post-production files are correctly labeled, stored, and easily accessible.
  • Coordinate the delivery of final files to clients, ensuring all deliverables meet the required specifications and deadlines.
  • Support post-production processes by facilitating smooth communication between editors, sound designers, and other post-production staff.
  • Monitor project progress and identify any issues or delays; develop and implement solutions to keep projects on track.
  • Provide administrative support to production and post-production teams, aiding in efficient workflow and project completion.
Qualifications
  • Must have experience in production and/or post-production. This experience ensures a comprehensive understanding of the creative process, technical requirements, and the challenges involved in bringing projects to completion.
  • Excellent communication and interpersonal skills, with an emphasis on teamwork and collaboration.
  • Proficiency in project management software such as Monday.com or similar, with a strong understanding of file management systems and protocols.
  • Experience in project coordination, emphasizing meticulous file organization and the ability to manage key documents efficiently.
  • Strong organizational and multitasking skills, capable of handling multiple projects simultaneously.
  • A keen eye for detail and a commitment to delivering high-quality work within tight deadlines.
