Job Summary

We are seeking a highly skilled and detail-oriented Human Resources Associate to join our team at North Island College. As a key member of our HR department, you will be responsible for coordinating and executing all transactional employment changes, responding to HR enquiries, and demonstrating tact and diplomacy when dealing with complex and sensitive information.

Key Responsibilities
  1. Manage HR Service Desk tickets and take appropriate action responding to complex situations within specified timeframes based on Human Resources and Payroll deadlines.
  2. Ensure accurate HR full cycle employee onboarding and offboarding processes, including employee appointments, contractual changes, leave management, professional development, and recruitment.
  3. Provide guidance to Payroll Benefits Associates and responsible for assigned technical projects.
  4. Develop employment appointments from Employment Appointment Requisitions analyzing, enquiring and determining complex multiple appointments.
  5. Ensure adherence to all relevant policies and procedures, collective agreements, and mandatory requirements regarding all aspects of employment contracts.
  6. Develop and analyze reports for Committee and divisional requirements as assigned.
  7. Administration of leaves, contract amendments and corrections, ensuring adherence to collective agreements, policies and procedures.
  8. Support the recruitment process by responding to external enquiries and providing accurate information to supervisors and candidates.
  9. Responsible for accurate entries in Colleague and applicable corresponding spreadsheets such as salary, benefits, status, union information, seniority and increments.
  10. Maintain HRIS database information, ensuring accurate data entry, and position control within Colleague.
  11. Responsibility to clearly interpret and appropriately communicate complex information and situations to internal and external audiences.
  12. Provide accurate, efficient and service-oriented responses to all requests for information from departments, unions, external agencies, applicants and others as appropriate.
  13. Maintain all relevant filing systems within the guidelines of the Freedom of Information and Protection of Privacy Act.
Requirements
  • Human Resource Management Diploma or Business Administration Diploma including courses in Human Resource Management.
  • Minimum three to five years current related experience in Human Resources within a complex multi-union environment.
  • An equivalent combination of education and experience may be considered.
Preferred Qualifications
  • Advanced level of proficiency with MS Office including Word, Excel and Access and word processing skills of 60 wpm.
  • Demonstrated knowledge of technical application in various platforms.
  • Ability to perform data entry and maintain records with attention to detail and a high level of accuracy.
  • Ability to demonstrate effective team behaviours such as active listening, sharing, team participation, and contributing to shared team goals.
  • Ability to compile, analyze, and reconcile reports.
  • Proven ability to identify, investigate and assess issues and utilize problem-solving, analytical and decision-making skills as necessary to provide efficient and effective HR services.
  • Excellent interpersonal, oral and written communication and customer service skills, with the demonstrated ability to exercise tact, good judgment and diplomacy.
  • Excellent organizational and priority management skills, to plan and prioritize all tasks and efficiently meet deadlines.
  • Responsible for the standard and consistency of own work, with attention to detail and ongoing learning.
  • Proven ability and willingness to quickly learn and put to use new skills and knowledge brought about by rapidly changing information and/or technology.
  • Proven ability to conscientiously handle sensitive and confidential information and documentation in a discreet and professional manner.
  • Demonstrated and clearly evidenced experience of the use of a database.
