Job Title: Client Services Clerk

At the City of Cornwall, we are seeking a highly organized and detail-oriented Client Services Clerk to join our team. As a key member of our Client Services Team, you will play a vital role in managing tenant portfolios from move-in to move-out, ensuring accurate completion of all correspondence related to tenant files, and maintaining data entry in our YARDI Voyager software.

Key Responsibilities:
  • Handle phone and walk-in inquiries from visitors, applicants, tenants, and staff in a professional and courteous manner.
  • Assist tenants in completing move-out notices, process move-outs, and offer units in a timely and efficient manner.
  • Enter tenant information into the Yardi Database, ensuring accuracy and attention to detail.
  • Prepare leases for signature and lease packages, ensuring compliance with the Residential Tenancy Act.
  • Complete annual review packages, review documentation, and update information in the Yardi database.
  • Prepare monthly Notice to Terminate Notices and reminders for delinquent rental accounts.
  • Prepare letters and notices to tenants, ensuring clarity and accuracy.
  • Scan letters, documents, and notices into the Yardi database, maintaining a secure and organized digital record.
  • Complete annual rent increases, ensuring compliance with the Residential Tenancy Act.
  • Understand the Residential Tenancy Act to ensure requirements are met for the preparation of leases, notices of rent increases, and notices to vacate.
  • Prepare correspondence and minutes as requested by Supervisors, maintaining a professional and organized workflow.
  • Accurately note-taking in the Yardi database, ensuring up-to-date and accurate records.
  • Update charts that record relevant information, maintaining a clear and concise visual record.

Requirements:

  • Completion of a two-year college program in administration, business, or a related discipline, or an equivalent level of job experience.
  • Two years of work-related experience in a similar position, with a strong understanding of general office procedures and documentation.
  • Able to communicate effectively in English and in French, both orally and in writing.
  • Knowledge and experience of general office procedures and documentation needed to prepare letters, notices, and contracts.
  • Skills in delivering work according to established deadlines, with the ability to manage workload independently while working in a collaborative team atmosphere.
