Administrative Support Specialist

Diagnostic Solutions International is seeking a highly skilled and organized Administrative Support Specialist to join our team. As a key member of our financial operations team, you will be responsible for providing administrative support for key business processes, including the annual operating plan, strategic plan, financial forecasts, and weekly pulse.
Key Responsibilities:
- Proactively support a wide range of administrative duties and processes, including financial activities, AP, AR, government accounting, and compliance issues.
- Be accountable for supporting the company vision and facilitating the implementation of consolidated, simplified, and standardized financial reporting processes.
- Provide administrative support for key business processes, including the annual operating plan, strategic plan, financial forecasts, and weekly pulse.
- Work with DSI leaders to coordinate compliance activities (ISO 9001:2015) with business needs.
- Support transition and implementation planning efforts of ERP software.
- Manage multiple priority activities concurrently, requiring extensive coordination with multiple managers, time zones, and follow-through.
- Schedule appointments and meetings, manage calendars, travel, expense reports, and provide coordination and support for team meetings and other activities.
- Provide Excel support and MS Project as required.
- Develop and/or update PowerPoint material as required by business managers.
- Exercise good judgment in setting task priorities and maintain a high degree of confidentiality.
- Communicate clearly and concisely in oral and written format with managers and employees of all levels.
Requirements:
- High School diploma or equivalent.
- A minimum of 5 years of directly related work experience.
- 2 or more years of experience working with Microsoft Office in a business environment.
- Strong MS office skills.
- Work efficiently and effectively in a demanding environment.
- Strong communication skills.
- Skilled at organizing administrative processes and systems.
- Must have advanced proficiency in various software programs, including MS PowerPoint, Excel, Outlook, Word, and MS Project.
- Ability to handle multiple tasks simultaneously and autonomously.
- Must be detail-oriented, possess executive presence, maturity, and judgment.
- Excellent interpersonal, organization, and communication skills.
- Strong problem-solving skills that allow you to proactively anticipate requirements.
- Able to maintain a high degree of confidentiality.
