Job Summary

We are seeking an experienced Administrative Officer to join our team at Ontario Inc. as a Policy and Procedure Coordinator. In this role, you will be responsible for reviewing and evaluating new administrative procedures, delegating work to office support staff, and establishing work priorities and ensuring procedures are followed and deadlines are met.

Key Responsibilities
  • Review and evaluate new administrative procedures to ensure they align with organizational policies and procedures
  • Delegate work to office support staff to ensure efficient and effective use of resources
  • Establish work priorities and ensure procedures are followed and deadlines are met
  • Administer policies and procedures related to the release of records in processing requests under government access to information and privacy legislation
  • Co-ordinate and plan for office services such as accommodation, relocation, equipment, supplies, forms, disposal of assets, parking, maintenance and security services
  • Assist in the preparation of operating budget and maintain inventory and budgetary controls
  • Assemble data and prepare periodic and special reports, manuals and correspondence
  • Perform data entry and maintain accurate and up-to-date records
  • Train staff on new policies and procedures
  • Oversee and co-ordinate office administrative procedures to ensure smooth day-to-day operations
  • Resolve conflict situations and provide guidance and support to staff
  • Oversee payroll administration and ensure accurate and timely payment of staff
  • Plan and control budget and expenditures to ensure efficient use of resources
Requirements
  • 5-10 years of experience in an administrative role
  • Post-secondary education in a related field
  • Excellent communication and interpersonal skills
  • Ability to work under pressure and meet deadlines
  • Attention to detail and ability to maintain accurate records
  • Ability to work independently and as part of a team
  • Knowledge of government access to information and privacy legislation
