POSITION SUMMARY:
Jones DesLauriers Insurance Management Inc. is seeking a motivated and detail-oriented HR Administrative Specialist. This role involves providing essential support in the organization and execution of various human resources initiatives across our brokerage brands throughout Canada. This is an excellent opportunity for an entry-level HR professional who is passionate about HR administrative functions and is eager to enhance their career in the human resources sector.
KEY RESPONSIBILITIES:
- Draft and manage various administrative documents, including employment letters, merit increase notifications, bonus communications, new hire documentation, short-term disability correspondence, and processing employee status modifications such as promotions, transfers, and terminations.
- Assist in the management of employee benefits programs, which encompass health insurance, retirement plans, and additional perks. Provide support to employees regarding benefits inquiries and enrollment procedures.
- Facilitate full-cycle recruitment administrative tasks, including job postings, administering online assessments, reviewing applications, coordinating interviews, conducting reference checks, and gathering background verification.
- Oversee employee onboarding administrative processes, including managing new hire orientations, preparing welcome packages, ordering IT equipment, coordinating with management, scheduling training, and facilitating benefits and retirement savings plan registration.
- Coordinate all employee offboarding activities, including resignation summaries, IT coordination, exit surveys, and company-wide communications as necessary.
- Maintain an accurate and current Human Resources and Learning Management System database, including scanning employee documents into the HRIS/Payroll System.
- Keep the organizational chart updated using PowerPoint.
- Support various HR projects such as job titling in ADP, paperless file organization, and updating engagement survey data.
- Complete various ad hoc tasks and HR initiatives as required.
QUALIFICATIONS:
- Completion of a University Degree or College Diploma in Human Resources Management.
- Experience with ADP Workforce Now is a plus.
- Minimum of 1 year of experience in an HR recruitment or administrative role.
- Proficient in MS Office Suite: Word, Excel, Outlook, PowerPoint.
- Strong attention to detail and a high degree of accuracy are essential.
- Excellent verbal and written communication skills, along with strong interpersonal abilities.
- Bilingualism in English and French is an asset.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Self-motivated, organized, and a team player with the capacity to work independently.
- Commitment to maintaining confidentiality.
- Willingness to travel to various locations as needed.
- Bilingual (English/French) is a definite advantage.
