We are seeking an experienced candidate to assume the role of Executive Assistant, Administration, who will report directly to the CEO. This position offers a unique opportunity to work with a dynamic team and contribute to the success of our organization.

Job Summary

The Executive Assistant, Administration manages the day-to-day functioning of the office, including the reception area, providing general support to office staff, and project management support for the CEO, Finance, Regulatory, and IT departments.

  • General office management and administrative support for the CEO
  • Perform receptionist duties, including attending to guests, telephone calls, and mail/couriers
  • Ensure the office runs smoothly on a daily basis
  • Manage office supplies inventory
  • Make travel arrangements, including booking flights and hotels for employees as required
  • Arrange office gatherings and events
  • Liaise with property management teams
  • Coordinate with IT service providers to support employees' IT requirements
  • Assist in special projects as needed
  • Schedule meetings and assist management with calendar appointments
  • Provide basic project management support to the CEO and various departments

Required Skills and Qualifications

To succeed in this role, you will require:

  • Strong multitasking and organizational skills
  • Excellent verbal and written communication skills
  • Knowledge of Microsoft Office applications, including Outlook
  • Ability to interact with internal and external stakeholders professionally and knowledgeably
  • Experience in building strong relationships throughout the organization using a responsive, service-oriented approach
  • Analytical and problem-solving skills to assist management and ensure smooth office workflow
  • Demonstrate initiative and ability to make sound judgments

Education and Experience Requirements

To be considered for this role, you must have:

  • A high school diploma or equivalent with at least 3 years' experience in office administration and/or an executive assistant role
  • Oral/written fluency in English is required; proficiency in French is preferred
