Job Title: Administrative Assistant

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Impact Health Physiotherapy and Sports Injury Clinic.

Key Responsibilities:
  • Coordinate the activities of the HR department to ensure alignment with the organization's goals
  • Manage the flow of information within the team to ensure seamless communication
  • Direct and control daily operations to maintain efficiency and productivity
  • Supervise staff to ensure they meet performance expectations
  • Evaluate daily operations to identify areas for improvement
  • Motivate staff to achieve their best performance
  • Perform administrative tasks such as opening and distributing mail, and ordering office supplies
  • Plan and control budget and expenditures to ensure financial stability
  • Plan and organize daily operations to ensure smooth workflow
  • Establish and implement policies and procedures to maintain a positive work environment
  • Train staff to ensure they have the necessary skills and knowledge
  • Record and prepare minutes of meetings, seminars, and conferences
  • Determine and establish office procedures and routines to maintain efficiency
  • Plan, develop, and implement recruitment strategies to attract top talent
  • Answer telephone calls and relay messages to ensure prompt communication
  • Oversee the analysis of employee data and information to inform decision-making
  • Oversee the preparation of reports to ensure accurate and timely information
  • Organize staff consultation and grievance procedures to maintain a positive work environment
  • Arrange travel, related itineraries, and make reservations as needed
  • Greet people and direct them to contacts or service areas
  • Conduct research to stay up-to-date on industry trends and best practices
  • Provide customer service to ensure a positive experience for clients and staff
  • Recruit and hire workers and carry out related staffing actions
  • Maintain and manage digital databases to ensure accurate and up-to-date information
  • Perform basic bookkeeping tasks to ensure financial accuracy
  • Evaluate work environments, programs, and procedures to control, eliminate, and prevent disease or injury
  • Supervise office and volunteer staff to ensure they meet performance expectations
Requirements:
  • 1-2 years of experience in an administrative role
