Job Summary
We seek an experienced Director of Administrative Operations to lead our administrative team and drive operational excellence. As a key member of our leadership team, you will oversee the day-to-day operations of our administrative functions, ensuring seamless execution of our business objectives.
Key Responsibilities:
- Lead and direct a team of 15+ employees, fostering a collaborative and productive work environment.
- Guide the admin team to deliver exceptional service, meeting or exceeding client expectations.
- Hire, train, and coach team members to ensure they possess the necessary skills to excel in their roles.
- Manage client onboarding, eligibility, and funding processes, ensuring timely and accurate completion.
- Oversee claims, disbursement, and reconciliation procedures, maintaining high levels of accuracy and efficiency.
- Support resource allocation for KPIs and SLAs, driving business growth and improvement.
- Improve processes for team efficiency, identifying opportunities for automation and streamlining.
- Address escalations with effective solutions, minimizing impact on our clients and teams.
- Work closely with leaders to develop and maintain strong client relationships.
- Create strategies for client issue resolution, ensuring prompt and satisfactory outcomes.
- Set metrics and evaluate team performance, providing actionable feedback and coaching.
- Oversee system upgrades and updates, staying ahead of industry trends and technological advancements.
- Track new technologies to boost productivity, recommending innovative solutions to improve our operations.
Requirements
To succeed in this role, you will need:
- 5+ years of experience managing administrative teams, with a proven track record of success.
- A Bachelor's Degree is preferred, but not required.
- Experience leading larger teams of 10+, with a focus on developing and empowering team members.
- Experience in change management and analytics, with the ability to interpret data and drive business decisions.
- Strong communication, customer service, and problem-solving skills, with the ability to work effectively in a fast-paced environment.
- Proficiency in Microsoft 365 suite, with experience using CRM and contact center telephony systems a plus.
- Healthcare, government, or insurance background a bonus, but not required.
