Administrative Support Specialist

Mehdi Miar is seeking an Administrative Support Specialist to join our team. The successful candidate will be responsible for providing administrative support to our staff, ensuring the smooth operation of our office.
Key Responsibilities- Assist with staff consultation and grievance procedures
- Evaluate daily operations and implement improvements
- Open and distribute mail and other materials
- Plan and organize daily operations, including scheduling appointments and managing calendars
- Establish and implement policies and procedures to ensure efficient office operations
- Train other workers on new procedures and software
- Record and prepare minutes of meetings, seminars, and conferences
- Schedule and confirm appointments, including travel arrangements
- Answer telephone calls and relay messages to staff members
- Answer electronic enquiries and respond to emails
- Order office supplies and maintain inventory levels
- Organize staff consultation and grievance procedures, ensuring a fair and respectful process
- Arrange travel, related itineraries, and make reservations as needed
- Greet visitors and direct them to the appropriate staff member or service area
- Set up and maintain manual and computerized information filing systems
- Type and proofread correspondence, forms, and other documents
- Provide exceptional customer service to internal and external clients
- Maintain and manage digital databases, ensuring accurate and up-to-date information
- Consult with clients after sales to provide ongoing support and ensure satisfactionSupervision
The successful candidate will be responsible for supervising 3-4 staff members in various areas of responsibility.
Computer and Technology Knowledge- Proficient in MS Excel, MS Outlook, MS PowerPoint, and MS Word
- Familiarity with electronic schedulers and human resources software
- Experience with Google Drive and electronic mail
- Ability to work independently in a fast-paced environment
- Work under pressure with tight deadlines and attention to detail
- Repetitive tasks and a large caseload
- Ability to multitask and prioritize tasks effectively
- Excellent oral and written communication skills
- Flexibility and adaptability in a dynamic work environment
- Organized and accurate with a client-focused approach

- Dependability and a quick learner
The successful candidate will have 1 year to less than 2 years of experience in an administrative support role.
