Job Summary

Petro Service Limited is seeking a highly skilled Invoicing Associate to join our team. As an Invoicing Associate, you will play a critical role in ensuring the timely and accurate preparation of customer invoices, as well as maintaining compliance with customer contracts and company policies.

Key Responsibilities
  • Invoice Preparation: Prepare customer invoices in a timely and accurate manner, ensuring all necessary information is included.
  • Invoice Review and Compliance: Review invoices for accuracy and ensure compliance with customer contracts, including pricing and other requirements.
  • Reconciliation and Reporting: Perform weekly/monthly reconciliation using standard/custom reporting, ensuring all financial transactions are accurately recorded.
  • Financial Budgeting: Meet specific monthly invoicing budgets, ensuring financial targets are met.
  • Customer Service: Answer invoicing inquiries and resolve customer disputes as they arise, providing excellent customer service.
  • Payment Processing: Process credit card payments and upload invoices into customer invoicing portals.
  • Collaboration and Communication: Collaborate with Supervisors, Dispatchers, and Technicians to ensure seamless communication and coordination.
  • Administrative Tasks: Create credit memos, update customer files, and perform other administrative tasks as required.
Requirements
  • Education: Post-Secondary education (degree/diploma) and/or equivalent experience.
  • Experience: 2-3 years' experience in a business environment, preferably in accounting or financial services.
  • Skills: High energy, goal-oriented, self-motivated, and positive attitude; detailed-oriented and deadline-conscious; team player with excellent interpersonal, organizational, and communication skills.
  • Technical Skills: Computer literate, proficient in Microsoft Office (particularly Excel), and familiar with accounting software.
