Position Summary
The Service Coordinator is a service-minded individual with excellent organizational skills, reporting to the Venue Services Manager. This role involves a wide variety of coordination and administrative functions involving confidential and time-sensitive materials.
The successful candidate will work flexible hours throughout the week, with scheduled hours ranging from 0 to 40 hours per week, based on the operational needs of the team.
Responsibilities
- Support and assist the department/organization with year-round programs, projects, and events.
- Ensure all internal and external work is processed, scheduled, monitored, and fulfilled accurately, promptly, and efficiently.
- Demonstrate an understanding of the mechanics and theory of products and services delivered by the Venue Services team.
- Facilitate and coordinate with the Sales and Events team to ensure work required by the Venue Services team is communicated to ensure the work is completed and deadlines are met.
- Represent the department at a variety of internal meetings.
- Coordinate and facilitate creation, issuing, re-issuing, and closing of service orders, as well as month-end procedures.
- Manage a variety of administrative tasks, including mail distribution, agenda creation, recording minutes, data entry, and the development of presentations, written communications, and reports.
Qualifications
The ideal candidate will be proactive, optimistic, and have the ability to multi-task, with a minimum of 2 years' experience in administrative support. They will have strong organizational skills, experience using Smartsheet, advanced knowledge of MS Office Suite, excellent interpersonal and communication skills, attention to detail, and a high level of accuracy.
