We are seeking a highly organized and detail-oriented Program Coordinator - Special Events to join our team at the Culinary Tourism Alliance. In this role, you will be responsible for promoting conference and meeting services or special events, developing marketing and communication plans, and preparing and managing budgets.

The ideal candidate will have 7 months to less than 1 year of experience in a related field and a college or CEGEP education. They will be able to work 35 to 40 hours per week and have a strong understanding of hospitality services, signage, multi-media equipment, printing, and other technical services.

Responsibilities will include:

  • Promoting conference and meeting services or special events
  • Developing marketing and communication plans
  • Preparing and managing budgets
  • Determining requirements for hospitality services, signage, multi-media equipment, printing, and other technical services, and arranging for and managing contracts for these services
  • Arranging for production or purchase of promotional products
  • Assisting in budget preparation
  • Assisting in site selection and attending to related details
  • Coordinating and monitoring conference and meeting activities and attending to related details
  • Coordinating media services
  • Confirming and coordinating speakers
  • Implementing registration systems
  • Implementing social programs, food and beverage, transportation, and other services
  • Planning and arranging for accommodation and transportation services
  • Planning and arranging for trade shows and exhibits
  • Developing registration systems and information materials
  • Researching and designing special events programs
  • Planning for social events and guest programs
  • Developing policies and procedures and attending to other management responsibilities
  • Preparing final financial and other reports
  • Managing Event Logistics
  • Planning and overseeing Webinars
  • Developing and implementing business plans
