Administrative Coordinator

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Samuel, Son & Co. As an Administrative Assistant, you will play a vital role in supporting our business operations and ensuring the smooth day-to-day functioning of our organization.
Key Responsibilities:Accounts Payable:
- Process incoming invoices and match them to purchase orders in our ERP system.
- Prepare cheque runs and EFT payments as required.
- Manage vendors in our ERP system, including adding, removing, and updating information.
- Calculate cash disbursements and ensure accurate month-end preparation.
Accounts Receivable:
- Complete customer invoicing and credits in our ERP system, and distribute them to customers.
- Manage customer payment receipts, including account and bank reconciliations.
- Collect payments and provide A/R status reports.
Purchasing:
- Support MRO purchasing, including cycle counts, creating purchase orders, and vendor management.
- Create and distribute purchase orders as required for MRO and services.
- Receive and process purchase orders in our ERP system.
Support:
- Provide customer service support, including order entry, product quoting, and customer communications.
- Manage general files, including AR/AP, inventory transactions, manufacturing orders, quality, health, and safety.
- Release production orders to the production floor.
- Produce various reports, including income statements and balance sheets, as required.
- Verify accuracy in reports, figures, and postings.
- Prepare and receive courier shipments as needed.
- Manage switchboard and incoming mail.
Requirements:
- Excellent communication skills and a pleasant demeanor.
- Strong attention to detail and ability to multitask.
- Patience and ability to remain calm under pressure.
- Strong organizational skills to manage various internal needs and conduct follow-ups in a timely manner.
- Adaptability and flexibility to deal with changing priorities.
- Strong computer skills, primarily MS Office, with experience in IndustrOS and Sage an asset.
- A positive attitude and ability to work well in a team environment.
