Job Summary

We are seeking an experienced Office Support Specialist to join our team at DaSilva and Associates Inc. As an Office Support Specialist, you will be responsible for providing administrative support to our team, including planning and organizing daily operations, determining and establishing office procedures and routines, and scheduling and confirming appointments.

Key Responsibilities
  • Plan and organize daily operations to ensure smooth office functioning
  • Determine and establish office procedures and routines to improve efficiency
  • Schedule and confirm appointments with clients and team members
  • Manage contracts and maintain accurate records
  • Answer electronic enquiries and respond to employee questions and complaints
  • Compile data, statistics, and other information to support business decisions
  • Order office supplies and maintain inventory levels
  • Arrange travel and related itineraries
  • Set up and maintain manual and computerized information filing systems
  • Type and proofread correspondence, forms, and other documents
  • Conduct research and provide data entry support
  • Provide customer service and work with the marketing department to understand and communicate marketing messages
  • Maintain and manage digital databases
  • Perform basic bookkeeping tasks
Requirements
  • 5 years or more of experience in an administrative role
  • Excellent oral and written communication skills
  • Ability to work independently with minimal supervision
  • Tight deadlines and attention to detail
  • Ability to work in a fast-paced environment
