Job Description
The Senior Executive Assistant - Director of Operations is a critical role responsible for providing advanced administrative support to multiple Management Committee members onsite five days a week at 351 King St E. The primary focus is enhancing the effectiveness of executives, promoting proactive communication, and driving organizational improvements.
This role requires a tech-savvy individual with strong communication skills, able to multitask efficiently and demonstrate leadership in driving change within the organization. The successful candidate will possess excellent business acumen, judgment, and the ability to confidentially manage sensitive relationships and information.
Main Responsibilities:
- Provide strategic decision-making support to Management Committee members.
- Review executive time allocation and propose opportunities to increase productivity and employee engagement.
- Manage senior executive correspondence, including inbox management as needed.
- Prepare draft communications for senior management.
- Complete and submit corporate forms for approval.
- Brief executives with background information before appointments or meetings.
- Coordinate executive leadership team meetings, including preparation of agendas, minutes, action logs, and distribution of materials.
Education: Post-secondary education in Business Administration or related field required.
Experience: At least five years of experience as an administrative assistant supporting three or more C-level executives in a fast-paced environment. Two years of experience in Banking, Finance, Insurance, or Technology, particularly in Investment Banking or FinTech, is preferred.

- Advanced knowledge of Microsoft Office products, especially PowerPoint, Excel, Outlook, and Word.
- Strong organizational and administrative skills.
- In-depth knowledge of the organization's business activities, structure, and executive personnel.

- Proactive self-management skills, demonstrating initiative to work independently.
