Job Description

Olympus Masonry Ltd. is seeking an experienced administrative assistant to join our team.

About the Role

This permanent position involves providing administrative support to our operations team, ensuring seamless daily operations and effective communication with stakeholders.

Key Responsibilities
  • Direct and control daily operations to maintain efficiency and productivity;
  • Open and distribute mail and other materials to relevant personnel;
  • Plan and organize daily operations to meet deadlines and goals;
  • Train staff on new procedures and protocols;
  • Schedule and confirm appointments with clients and vendors;
  • Manage contracts and agreements with suppliers and partners;
  • Answer telephone calls and relay messages to relevant personnel;
  • Answer electronic enquiries from clients and stakeholders;
  • Respond to employee questions and complaints in a timely and professional manner;
  • Order office supplies and maintain inventory levels;
  • Liaise with management, union officials, and HR consultants to address issues and concerns;
  • Negotiate collective agreements on behalf of employers or workers;
  • Oversee payroll administration to ensure accuracy and compliance;
  • Arrange travel, related itineraries, and make reservations for company events;
  • Greet people and direct them to contacts or service areas;
  • Set up and maintain manual and computerized information filing systems;
  • Type and proofread correspondence, forms, and other documents;
  • Conduct research to provide accurate information and insights;
  • Perform data entry tasks to maintain accurate records;
  • Provide exceptional customer service to internal and external stakeholders;
  • Recruit and hire workers and carry out related staffing actions;
  • Maintain and manage digital databases to store and retrieve information efficiently;
  • Perform basic bookkeeping tasks to track expenses and revenues;
  • Consult with clients after sale to provide ongoing support and services;
Requirements
  • 1 year to less than 2 years of experience in an administrative role;
  • Degree in business administration or a related field (an asset);
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat Reader;
  • Familiarity with accounting software and QuickBooks;
  • Excellent communication and organizational skills;
  • Ability to work independently and as part of a team;
  • Attention to detail and ability to multitask effectively;
  • Reliability and dependability to meet deadlines and goals;
  • Quick learner with a positive attitude and strong work ethic;
