Gorilla Moving Company inc is seeking an Administrative Support Specialist to join our team. As an Administrative Support Specialist, you will be responsible for providing administrative support to our office operations. This includes establishing and implementing policies and procedures, determining and establishing office procedures and routines, scheduling and confirming appointments, and answering telephone and relay telephone calls and messages.

The ideal candidate will have excellent oral and written communication skills, be organized, and have the ability to multitask. You will also be responsible for performing data entry, providing customer service, and preparing contracts and tenders.

In this role, you will have the opportunity to work independently and under pressure. You will also be responsible for supervising office and volunteer staff, receiving payments, and preparing invoices and bank deposits.

Key responsibilities include:

  • Establish and implement policies and procedures
  • Determine and establish office procedures and routines
  • Schedule and confirm appointments
  • Answer telephone and relay telephone calls and messages
  • Answer electronic enquiries
  • Respond to employee questions and complaints
  • Order office supplies and maintain inventory
  • Arrange travel, related itineraries and make reservations
  • Set up and maintain manual and computerized information filing systems
  • Perform data entry
  • Provide customer service
  • Perform basic bookkeeping tasks
  • Address customers' complaints or concerns
  • Supervise office and volunteer staff
  • Receive payments
  • Prepare contracts and tenders
  • Order materials and stock
  • Implement marketing activities
  • Assist in budget preparation
  • Prepare other statistical, financial and accounting reports
  • Prepare invoices and bank deposits
  • Clerical duties (i.e. faxing, filing, photocopying)
  • Scan items
  • Prepare price quotations
  • Source, select and organize information for inclusion and design the appearance, layout and flow of the Website
  • Plan, organize, direct, control and evaluate daily operations
