Office Administration Assistant

Job Summary
We are seeking a highly organized and detail-oriented Office Administration Assistant to join our team at Cheryl Kwok Notary Public. As an Office Administration Assistant, you will be responsible for providing administrative support to our staff and clients, ensuring the smooth day-to-day operation of our office.
Responsibilities
- Data Entry: Accurately and efficiently enter data into our database and spreadsheets using MS Excel and Word processing software.
- File Management: Maintain and organize physical and electronic files, ensuring accurate labeling and storage according to retention and disposal schedules.
- Communication: Respond to telephone and electronic inquiries, provide general information to clients and the public, and relay messages as needed.
- Clerical Duties: Perform various clerical tasks, including sorting, processing, and verifying applications, receipts, and other documents.
- Customer Service: Provide exceptional customer service, answering questions and resolving issues in a professional and courteous manner.
- Technology: Proficiently use MS Word, Database software, MS Excel, MS Outlook, and MS Windows to perform daily tasks.
- Security and Safety: Complete a criminal record check prior to starting employment.
- Work Conditions: Work in a fast-paced environment with tight deadlines, requiring attention to detail and the ability to work under pressure.
Requirements
- Education: Bachelor's degree or equivalent experience.
- Experience: Experience in office administration is an asset.
- Skills: Excellent communication and interpersonal skills, analytical and problem-solving abilities, and proficiency in MS Office software.
Compensation
The estimated salary range for this position is $45,000 - $55,000 per year, depending on experience and qualifications. We offer a competitive benefits package, including paid time off, holidays, and opportunities for professional growth and development.
