Job Summary

The Provincial Health Services Authority (PHSA) is seeking a highly organized and detail-oriented Program Assistant to support the Neonatology Department. As a key member of the team, you will provide administrative support to the department, ensuring the smooth operation of daily activities.

Key Responsibilities
  • Administrative Support: Provide confidential administrative support to the department, including preparing and updating documents, reports, and presentations.
  • Communication and Coordination: Coordinate meetings, appointments, and travel arrangements, ensuring timely and accurate communication with internal and external stakeholders.
  • Record Keeping and Data Management: Maintain accurate and up-to-date records, including meeting minutes, action items, and statistical information.
  • Expense Reimbursement and Invoicing: Authorize expense reimbursements and invoices, ensuring timely and accurate processing.
  • Supply Management and Equipment Maintenance: Ensure the availability of necessary supplies and equipment, and coordinate the implementation of new technology within the department.
  • HR and Finance Support: Process timekeeping for assigned staff, complete eForms, and liaise with Finance, Payroll, and Human Resources as needed.
Requirements
  • Education and Experience: A level of education, training, and experience equivalent to Grade 12, plus graduation from a formal secretarial program, and three years of recent related experience.
  • Skills and Knowledge: Demonstrated ability to work independently and collaboratively, resolve administrative issues, prioritize workload, and adapt to changes in organizational priorities. Proficiency in Microsoft Office applications, including word processing, spreadsheet, and presentation software. Ability to communicate effectively, both verbally and in writing, and to record and transcribe meeting minutes.
