We are seeking a highly organized and skilled Executive Office Coordinator to join our team at VIL HOMES INC. This role is perfect for individuals who excel in administrative tasks, possess excellent communication skills, and can work independently with minimal supervision.

About the Role

The Executive Office Coordinator will be responsible for coordinating the flow of information within the team, determining and establishing office procedures and routines, scheduling and confirming appointments, managing contracts, overseeing the analysis of employee data and information, recruiting and hiring staff, and performing basic bookkeeping tasks.

This role requires strong organizational skills, attention to detail, and the ability to prioritize tasks effectively. The ideal candidate will have a high school diploma or equivalent, 7 months to less than 1 year of experience in an administrative role, and excellent communication and interpersonal skills.

Key Responsibilities
  • Administrative Support: Provide administrative support to the team, including coordinating schedules, booking appointments, and managing correspondence.
  • Office Management: Determine and establish office procedures and routines, ensuring a smooth and efficient workflow.
  • Contract Management: Manage contracts, ensuring that all necessary documentation is up-to-date and compliant with company policies.
  • Employee Data Analysis: Oversee the analysis of employee data and information, providing insights and recommendations to management.
  • Recruitment and Hiring: Recruit and hire staff, ensuring that all necessary documentation is completed and compliant with company policies.
  • Bookkeeping: Perform basic bookkeeping tasks, including tracking expenses and managing finances.
Requirements
  • Education: High school diploma or equivalent.
  • Experience: 7 months to less than 1 year of experience in an administrative role.
  • Skills: Excellent communication and interpersonal skills, strong organizational skills, attention to detail, and the ability to prioritize tasks effectively.
