Job Summary

The Administrative Coordinator plays a vital role in ensuring the efficient operation of our office. This position involves a variety of tasks, including managing schedules, organizing meetings, maintaining records, and handling correspondence. The successful candidate will serve as a point of contact for internal and external stakeholders and ensure that all administrative activities are carried out in a timely and effective manner.

Key Responsibilities
  • Respond promptly to external and internal customer inquiries.
  • Communicate with customers through various channels, including email and phone.
  • Problem solve and resolve customer complaints.
  • Process orders, forms, applications, and requests.
  • Create quotations and coordinate with operations on deliveries and inquiries.
  • Analyze pricing, invoices, and discrepancies, and create adjustments accordingly.
  • Work on accounts receivable, including analyzing invoices and creating debit and credit memos.
  • Monitor on-time delivery and communicate with customers.
  • Analyze inventory levels, forecast, purchase orders, and incoming inventory.
  • Create various reports, including order confirmations, forecast, volumes, etc.
Requirements
  • 2 years of experience in Sales/Customer Service.
  • High school diploma or equivalent.
  • Fluency in written and spoken French and English.
  • Understanding of the sales process and dynamics.
  • Experience using computers for various tasks.
  • Competency in Microsoft applications, including Excel.
