Job Description

  • Manage the calendar of senior executives
  • Arrange travel for executives, board members, and directors as required
  • Prepare and submit expense claims for executives and directors
  • Schedule and organize meetings of staff, executives, and board members
  • Plan and arrange staff social events
  • Prepare correspondence letters and emails as required
  • Order catering, purchase gifts, etc., as required
  • Book meeting spaces (internal or external)

Responsibilities

The ideal candidate will be responsible for providing administrative support to senior executives, including:

  • Polling, scheduling, attending, and taking minutes for meetings
  • Compiling and preparing meeting documents and distributing them ahead of time
  • Planning and organizing the Annual General Meeting
  • Providing support for Atlantic Senior Leaders Meetings
  • Coordinating elections process
  • Coordinating awards nomination process
  • Coordinating with other provincial EA's for national matters and scheduling
  • Formatting documents and presentations
  • Providing administrative support to other directors/departments as needed
  • Setting up/cleaning up meeting rooms

Requirements

The ideal candidate should have a minimum diploma in office administration, at least five years of practical experience in an executive administrative capacity, and experience working with Office 365 products.
