About the Role

We are seeking an experienced Office Support Professional to join our team at Fraser Health. This is a fantastic opportunity for someone who enjoys providing excellent customer service and has strong administrative skills.

Key Responsibilities

  • Provide front-line reception services by answering telephones, taking information, and transferring calls to appropriate staff members.
  • Maintain master appointment books for all staff members.
  • Screen referrals and assess situations to determine the degree of urgency.
  • Provide routine information to clients and the general public, including appointments, phone numbers of other services, and pamphlets.
  • Attend to clients in the waiting room and perform typing and clerical services for the Mental Health Centre staff.
  • Gather and process client information forms, register and discharge files as required, and ensure client record security.
  • Maintain office files by filing reports and correspondence pertinent to client files.
  • Sort incoming mail, prepare outgoing mail daily, and arrange for courier delivery/pick-up.
  • Set up appointments and arrange meetings as required.
  • Record leave management information, photocopy, fax, deliver reports, and order supplies as needed.

Requirements

  • Grade 12 diploma, plus completion of a recognized Medical Office Assistant certificate, or equivalent combination of education, training, and experience.
  • One year's recent, related experience, or an equivalent combination of education, training, and experience.
  • Ability to type 45 wpm, knowledge of medical terminology, and ability to operate multi-line switchboard.
  • Excellent communication skills, both verbally and in writing, and ability to deal effectively with others.
  • Ability to plan, organize, and prioritize work, and operate related equipment using various software applications.
