Job Summary

The Social & Community Services Administrative Assistant is a key member of the team, providing administrative support to senior and middle managers within the division. This role requires a high level of organization, attention to detail, and excellent communication skills.

Key Responsibilities

  • Provide administrative support to senior and middle managers, including processing mail, filing, and data entry.
  • Attend meetings, prepare agendas, and take minutes.
  • Manage calendars, schedule appointments, and prepare travel arrangements.
  • Organize divisional events, such as training and professional development days.
  • Liaise with County departments as required.
  • Prepare bi-weekly staff payroll and coordinate pay summaries.
  • Coordinate the purchase of supplies and maintenance of office equipment.
  • Prepare and reconcile P-card reports.
  • Create purchase orders and cheque requisitions.
  • Ensure confidential documentation is secured nightly.
  • Maintain records for the Social & Community Services Division.
  • Participate on committees as required.

Requirements

  • Minimum one year post-secondary education in office administration or equivalent.
  • Demonstrated written and verbal proficiency in the French language.
  • Advanced word processing, spreadsheet, and database application skills.
  • Strong interpersonal and communication skills.
  • Strong organizational skills.
  • Requires close attention to detail and accuracy.

Working Conditions

Regular office environment. Attend meetings during and after business hours as required.
