Job Title: Administrative Assistant II

Job Summary:

The Administrative Assistant II is a key member of the Social & Community Services Division team, providing administrative support to senior and middle managers. This role requires a high level of organization, attention to detail, and excellent communication skills.

Key Responsibilities:
  1. Provide administrative support to senior and middle managers, including mail processing, filing, and data entry.
  2. Attend meetings, prepare agendas, and take minutes.
  3. Manage calendars, schedule appointments, and prepare travel arrangements.
  4. Organize divisional events, such as training and professional development days.
  5. Liaise with County departments as required.
  6. Prepare bi-weekly staff payroll and coordinate pay summaries.
  7. Coordinate the purchase of supplies and maintenance of office equipment.
  8. Prepare and reconcile P-card reports.
  9. Create purchase orders and cheque requisitions.
  10. Ensure confidential documentation is secured nightly.
  11. Maintain records for the Social & Community Services Division.
  12. Participate on committees as required.
  13. Provide back-up coverage for the Administrative Supervisor.
Requirements:
  • Minimum one year post-secondary education in office administration or equivalent.
  • Demonstrated written and verbal proficiency in the French language.
  • Advanced word processing, spreadsheet, and database application skills.
  • Understanding of basic accounting principles.
  • Strong interpersonal and communication skills.
  • Strong organizational skills.
  • Requires close attention to detail and accuracy.
Experience:
  • A minimum of three years of varied office experience in a similar position.
  • Criminal reference check.
Working Conditions:
  • Regular office environment.
  • Attend meetings during and after business hours as required.
