At PDF Construction, we are seeking an Administrative Support Specialist to join our team. This role is responsible for directing and controlling daily operations, planning and organizing daily tasks, and establishing and implementing policies and procedures.

Key Responsibilities
  • Direct and Control Daily Operations: Ensure the smooth operation of our office by overseeing daily tasks and activities.
  • Plan and Organize Daily Tasks: Develop and implement plans to achieve our office goals and objectives.
  • Establish and Implement Policies and Procedures: Create and enforce policies and procedures to maintain a productive and efficient work environment.
  • Record and Prepare Minutes of Meetings: Accurately record and prepare minutes of meetings, seminars, and conferences.
  • Determine and Establish Office Procedures and Routines: Develop and implement office procedures and routines to ensure a well-organized and efficient work environment.
  • Schedule and Confirm Appointments: Schedule and confirm appointments, meetings, and events.
  • Answer Telephone and Relay Telephone Calls and Messages: Respond to telephone calls and relay messages to the appropriate personnel.
  • Answer Electronic Enquiries: Respond to electronic enquiries and provide assistance as needed.
  • Compile Data, Statistics, and Other Information: Gather and compile data, statistics, and other information as required.
  • Order Office Supplies and Maintain Inventory: Order office supplies and maintain inventory levels to ensure a well-stocked and efficient work environment.
  • Arrange Travel, Related Itineraries, and Make Reservations: Arrange travel, related itineraries, and make reservations as needed.
  • Greet People and Direct Them to Contacts or Service Areas: Greet visitors and direct them to the appropriate contacts or service areas.
  • Provide Customer Service: Provide excellent customer service to internal and external clients.
  • Work Term: Permanent: This is a permanent position.
  • Work Language: English: English is the primary language of communication.
  • Hours: 30 hours per week: This position requires 30 hours of work per week.
