Job Description

LNS Holdings Co. Ltd. is seeking a highly skilled Administrative Assistant - Office Operations Coordinator to join our team.

About the Role

This is a permanent position with an estimated salary of $45,000 to $55,000 per year. The successful candidate will work 30 to 40 hours per week and have a secondary (high) school graduation certificate.

Key Responsibilities
  • Arrange and co-ordinate seminars, conferences, and other events.
  • Establish and implement policies and procedures to ensure smooth office operations.
  • Train other workers on new systems and processes.
  • Record and prepare minutes of meetings, seminars, and conferences.
  • Determine and establish office procedures and routines to improve efficiency.
  • Schedule and confirm appointments for senior management.
  • Manage training and development strategies to enhance employee skills.
  • Answer telephone calls and relay messages to relevant personnel.
  • Oversee the analysis of employee data and information to inform decision-making.
  • Answer electronic enquiries from clients and stakeholders.
  • Develop and implement communication strategies to engage employees and external partners.
  • Compile data, statistics, and other information to support business decisions.
  • Prepare reports on office performance and recommend areas for improvement.
  • Advise senior management on administrative matters.
  • Respond to employee questions and complaints in a timely and professional manner.
  • Order office supplies and maintain inventory levels.
  • Organize staff consultation and grievance procedures to promote a positive work environment.
  • Arrange travel, related itineraries, and make reservations for employees.
  • Greet people and direct them to contacts or service areas.
  • Set up and maintain manual and computerized information filing systems.
  • Type and proofread correspondence, forms, and other documents.
  • Conduct research to stay up-to-date on industry trends and best practices.
  • Perform data entry tasks to maintain accurate records.
  • Provide excellent customer service to internal and external clients.
  • Work closely with the marketing department to understand and communicate marketing messages to the field.
  • Assign, coordinate, and review projects and programs to achieve business objectives.
  • Plan, organize, direct, control, and evaluate daily office operations to ensure efficiency and effectiveness.
Requirements
  • High school diploma or equivalent required; post-secondary education preferred.
  • 1-2 years of experience in an administrative role; or equivalent combination of education and experience.
  • Excellent organizational, communication, and interpersonal skills.
  • Ability to multitask and prioritize multiple projects simultaneously.
  • Strong attention to detail and ability to maintain accuracy in records and reports.
  • Proficiency in MS Excel, MS Outlook, MS Windows, MS Word, and social media platforms.
  • Familiarity with technical terminology related to business, correspondence, reports, contracts, statistics, charts, tables, graphs, diagrams, and project management.
  • Ability to work in a fast-paced environment with tight deadlines and repetitive tasks.
  • Capacity to maintain confidentiality and handle sensitive information with discretion.
