LNS Holdings Co. Ltd. is seeking a highly skilled Administrative Assistant - Office Operations Coordinator to join our team.
About the RoleThis is a permanent position with an estimated salary of $45,000 to $55,000 per year. The successful candidate will work 30 to 40 hours per week and have a secondary (high) school graduation certificate.
Key Responsibilities- Arrange and co-ordinate seminars, conferences, and other events.
- Establish and implement policies and procedures to ensure smooth office operations.
- Train other workers on new systems and processes.
- Record and prepare minutes of meetings, seminars, and conferences.
- Determine and establish office procedures and routines to improve efficiency.
- Schedule and confirm appointments for senior management.
- Manage training and development strategies to enhance employee skills.
- Answer telephone calls and relay messages to relevant personnel.
- Oversee the analysis of employee data and information to inform decision-making.
- Answer electronic enquiries from clients and stakeholders.
- Develop and implement communication strategies to engage employees and external partners.
- Compile data, statistics, and other information to support business decisions.
- Prepare reports on office performance and recommend areas for improvement.
- Advise senior management on administrative matters.
- Respond to employee questions and complaints in a timely and professional manner.
- Order office supplies and maintain inventory levels.
- Organize staff consultation and grievance procedures to promote a positive work environment.
- Arrange travel, related itineraries, and make reservations for employees.
- Greet people and direct them to contacts or service areas.
- Set up and maintain manual and computerized information filing systems.
- Type and proofread correspondence, forms, and other documents.
- Conduct research to stay up-to-date on industry trends and best practices.
- Perform data entry tasks to maintain accurate records.
- Provide excellent customer service to internal and external clients.
- Work closely with the marketing department to understand and communicate marketing messages to the field.
- Assign, coordinate, and review projects and programs to achieve business objectives.
- Plan, organize, direct, control, and evaluate daily office operations to ensure efficiency and effectiveness.
- High school diploma or equivalent required; post-secondary education preferred.
- 1-2 years of experience in an administrative role; or equivalent combination of education and experience.
- Excellent organizational, communication, and interpersonal skills.
- Ability to multitask and prioritize multiple projects simultaneously.
- Strong attention to detail and ability to maintain accuracy in records and reports.
- Proficiency in MS Excel, MS Outlook, MS Windows, MS Word, and social media platforms.
- Familiarity with technical terminology related to business, correspondence, reports, contracts, statistics, charts, tables, graphs, diagrams, and project management.
- Ability to work in a fast-paced environment with tight deadlines and repetitive tasks.
- Capacity to maintain confidentiality and handle sensitive information with discretion.
