Job Summary: We are seeking a highly organized and detail-oriented Event Planning Specialist to join our team at JHAJJ PRODUCTION LTD. As an Event Planning Specialist, you will be responsible for promoting conference and meeting services or special events, recruiting and supervising staff and/or volunteers, and preparing and managing budgets.

Key Responsibilities:

  • Promote conference and meeting services or special events to attract attendees and clients.
  • Recruit, hire, and supervise staff and/or volunteers to ensure successful event execution.
  • Prepare and present budgets to stakeholders, ensuring accurate financial planning and management.
  • Develop sponsorship, partnership, or fundraising programs to support event initiatives.
  • Review bids and negotiate costs to secure the best value for our events.
  • Coordinate and monitor conference and meeting activities, attending to related details to ensure a seamless experience.
  • Coordinate set-ups, staging, seating, parking, communication systems, and other details for special events.
  • Implement registration systems to streamline event attendance and management.
  • Plan and arrange for accommodation and transportation services to support event attendees.
  • Plan for required documentation and pre- and post-distribution of documentation (itineraries, evaluations, etc.).
  • Plan for social events and guest programs to enhance the overall event experience.
  • Develop policies and procedures to ensure effective event management and quality control.
  • Manage Event Logistics to ensure timely and efficient event execution.
  • Supervise office and volunteer staff to maintain a productive and efficient work environment.

Work Conditions and Physical Capabilities:

  • Attention to detail to ensure accurate event planning and execution.
  • Ability to work under pressure and meet tight deadlines.
  • Fast-paced environment with frequent overtime required.
  • Permanent work term with 35 hours per week.
  • Work Language: English.
