Luxury Brand Creative Project Coordinator

We are seeking a highly skilled Luxury Brand Creative Project Coordinator to join our in-house creative team at Four Seasons Hotels Ltd.
About the Role:
As a Luxury Brand Creative Project Coordinator, you will play a pivotal role in ensuring the seamless execution of creative projects that uphold the luxury image and standards of Four Seasons. You will collaborate closely with cross-functional teams, including Brand Strategy, Marketing, PRSM communications, and external partners to deliver innovative and elegant creative solutions.
Key Responsibilities:
- Lead the creative project lifecycle from conception through delivery, ensuring timely and efficient execution.
- Develop detailed project timelines, identifying milestones, deadlines, and key deliverables while accounting for multiple ongoing projects.
- Ensure that each project adheres to the brand's vision, maintaining the integrity of the brand's identity and high standards of craftsmanship.
Creative Brief Management:
- Work with stakeholders (e.g., Brand Strategy, PRSM, Key stakeholders) to define project objectives, deliverables, and scope.
- Depending on project, possibly required to translate quick turn project asks into clear, detailed, actionable briefs for the creative team, ensuring clarity of purpose and expectations.
Resource Allocation:
- Manage creative team resources effectively, ensuring the right talent is allocated to each project and that workloads are balanced to meet deadlines.
- Coordinate with freelance contractors, agencies, and vendors, ensuring alignment with internal timelines and brand guidelines.
Cross-Departmental Collaboration:
- Serve as the central point of contact between the creative team and other departments (e.g., Marketing, Brand Strategy, PRSM, Media), facilitating seamless communication and collaboration.
- Act as a liaison between the creative team and key internal partners, ensuring the brand's vision is represented accurately in all projects.
Creative Process Facilitation:
- Support the weekly team status and summary notice to go out weekly to the full team – focusing the Creative team on the overall priorities of the week as well as 'what's ahead'.
- Work in collaboration and partnership with Creative Producer, Creative teams to support the Creative process with thoughtfully organized timelines, booking of meetings, providing meeting summaries etc.
- Provide constructive feedback to the design, copy, and content teams, ensuring work remains aligned with strategic goals.
Quality Assurance:
- Oversee the development of all creative assets, ensuring they meet the ECI aesthetic and quality standards, and are consistent across all touchpoints (print, digital, stills, video, social media, etc.).
- Manage the review and approval process, ensuring timely approvals from all stakeholders and leadership.
- Management of weekly ECD and BCR – as it relates to the Creative project lifecycle.
Stakeholder Communication:
- Present project progress, updates, and final concepts to internal stakeholders, including senior management and cross-functional teams.
- Manage client relationships, gathering feedback, and ensuring all creative work meets the brand's high expectations.
Feedback Integration & Conflict Resolution:
- Navigate and manage feedback from various stakeholders, ensuring the creative team understands and effectively implements changes while maintaining the brand's vision.
- Resolve conflicts, balancing creative ambition with strategic objectives and the constraints of time and budget.
Budget Oversight:
- Manage the budget for each project, tracking costs and ensuring the project stays within financial constraints.
- Collaborate with producer, procurement, and finance teams to approve project costs and manage invoicing for external vendors and agencies.
Maintaining Brand Standards:
- Ensure that all creative outputs—whether digital, print, or experiential—are in line with the brand's luxury image, values, and ECI brand guidelines.
- Champion the brand's voice and visual identity across all projects and ensure consistency in messaging across all platforms and touchpoints.
Innovation and Trend Awareness:
- Stay up-to-date with industry trends and innovations in creative marketing, digital design, and luxury branding, offering fresh ideas that help maintain the brand's competitive edge.
- Inspire the team with creative solutions that uphold the luxury perception of the brand while pushing the boundaries of creative excellence.
Performance Metrics & Reporting:
- Provide post-project reviews and recommendations to improve processes, efficiency, and creative output for future projects.
Continuous Improvement:
- Evaluate project successes and challenges, applying lessons learned to optimize future workflows and creative execution.
- 5 – 8 years' experience within agency, or client-side environment supporting creative teams.
Salary Range: $120,000 - $180,000 per annum, depending on experience and qualifications. This is a hybrid working model, requiring 3 days per week in the Four Seasons Corporate Office located at Toronto, Ontario.
