We are seeking a highly organized and detail-oriented Medical Administrative Assistant to join our team at Dr. James N. Bergman Inc. As a key member of our administrative staff, you will be responsible for providing exceptional support to our medical professionals and patients.

About the Role

This is a permanent full-time position working 40 hours per week. The successful candidate will have excellent communication skills, both written and verbal, and be able to work effectively in a fast-paced environment.

Key Responsibilities
  • Interview patients to obtain case histories and maintain accurate records
  • Schedule and confirm appointments, ensuring seamless communication with patients and medical professionals
  • Train staff in procedures and software, promoting a culture of continuous learning and improvement
  • Complete insurance and claim forms accurately and efficiently
  • Maintain filing systems, both physical and electronic, to ensure data security and accessibility
  • Order supplies and manage inventory to meet the needs of our medical team
  • Determine and establish office procedures and routines to optimize workflow and productivity
  • Enter and format medical reports and correspondence, preparing spreadsheets and documents for review
  • Initiate and maintain confidential medical files and records, adhering to HIPAA guidelines
  • Prepare draft agendas for meetings and take, transcribe, and distribute minutes, ensuring clear communication and collaboration among team members
Requirements and Qualifications

To be successful in this role, you will require:

  • 2 years of experience as a medical administrative assistant or in a related field
  • Secondary (high) school graduation certificate
  • Excellent communication, organizational, and problem-solving skills
  • Ability to work effectively in a team environment and maintain confidentiality
  • Familiarity with current software and technology, including Microsoft Office and electronic health records systems

Estimated Salary

The estimated salary for this position is $45,000-$55,000 per year, based on industry standards and location. This range may vary depending on qualifications, experience, and other factors.
