Job Title: Business Operations Coordinator

We are seeking a highly organized and detail-oriented Business Operations Coordinator to join our team at TES The Employment Solution. This role is responsible for providing administrative support to our operations team, ensuring the smooth day-to-day functioning of our business.

About the Role:

The Business Operations Coordinator will be responsible for:

  • Time Reporting and Assistance: Coordinate and manage time reporting for all Central Ops employees, ensuring accurate and timely submissions.
  • Shift Scheduling: Develop and maintain shift schedules for both compressor stations, taking into account employee availability and operational requirements.
  • Vacation Calendars: Manage and coordinate vacation calendars for all Central Ops employees, ensuring adequate coverage during peak periods.
  • Expense Reporting: Support expense reporting for all Central Ops employees, including processing and submitting reports in a timely manner.
  • Accounts Payable: Provide administrative support for accounts payable, including processing invoices and payments.
  • Office Supplies: Ensure the replenishment of office supplies and equipment, maintaining a well-stocked inventory.
  • Fire Department Exercises: Coordinate with local Fire Departments to schedule recurring exercises and ensure compliance with regulatory requirements.
  • Lone Worker Devices: Monitor Blackline lone worker devices and provide support as required, ensuring employee safety and well-being.
  • Overtime Reporting: Update overtime reporting accurately and efficiently, ensuring compliance with regulatory requirements.
  • Joint Health and Safety Committee: Provide administrative support to the Joint Health and Safety Committee, ensuring effective communication and decision-making.
  • United Way Coordination: Serve as the United Way Central Operations coordinator, supporting charitable initiatives and community engagement.
  • Mail Distribution: Distribute mail and update contact lists, ensuring timely communication and information sharing.
  • SharePoint Management: Maintain multiple STO SharePoint sites, ensuring data accuracy and up-to-date information.
  • Contingency Planning: Support STO contingency planning, ensuring business continuity and preparedness.
  • ERP Reviews: Assist with Business Continuity Planning and ERP reviews annually, ensuring compliance with regulatory requirements.
  • Purchase Orders: Process purchase orders, ensuring timely and accurate procurement of goods and services.
  • C55 Support: Provide local C55 support, ensuring effective operation and maintenance of equipment.
  • Correspondence: Create correspondence and maintain a library of presentations, supporting effective communication and information sharing.
  • Special Projects: Coordinate and implement special projects, ensuring successful execution and delivery.
