Job Title: Commercial Property Manager
About the Role:
Kipling Group Inc is a leading real estate management organization, catering to large institutional clients, private equity funds, and high net worth individuals. We manage all asset classes and through Forest Hill Kipling, manage multi-family residential and condominium properties.
Key Responsibilities:
As a Commercial Property Manager, you will oversee a portfolio located in Toronto. Your primary responsibilities will include:
- Developing key relationships with client representatives and stakeholders, and managing all communications;
- Maintaining close working relationships with tenants and overseeing the resolution of any tenant issues;
- Performing regular inspections of the property to ensure high standards of cleanliness, maintenance, and security are maintained, and initiating corrective actions as needed;
- Overseeing the rectification of day-to-day property management issues;
- Procuring all third-party agreements, observing budget restrictions and procurement guidelines, and tendering/re-tendering where and when required;
- Supervising building operations staff in the performance of their duties;
- Coordinating and developing operating manuals for the property – e.g. emergency preparedness;
- Attending regular meetings with clients, stakeholders, and tenants;
- Managing/overseeing both capital and construction projects, both planned and unplanned, as approved by the client in compliance with all governmental regulations;
- Managing all administration duties at the property, including any administrative staff;
- Ensuring compliance with any and all applicable government regulations;
- Developing risk management programming for the property;
- Managing and overseeing emergency situations;
- All other duties as required.
Financial Duties:
As a Commercial Property Manager, you will also be responsible for:
- Coordinating and managing monthly/quarterly reporting and annual operating and capital budget process as per the client requirements;
- Coordinating the preparation of capital plans (1-5 year and 10 year);
- Overseeing accounting deliverables, including processing of payables, invoicing, accounts receivable, utilities management, and all related reporting on a timely basis;
- Managing all aspects of budgetary expenditures during the year;
- Preparing variance analysis on a monthly and ad hoc basis as required;
- Ensuring proper work order and invoice approval procedures are maintained;
- Reviewing and approving purchase orders and invoices for work performed at the property;
- Reviewing and monitoring tenant invoices, accounts receivable, and correspondence;
- Liaising with the accounting team to ensure accuracy and timely delivery of all client reports.
Requirements:
The ideal candidate for this position will have the following background:
- Minimum 5 years of direct property management experience;
- Strong written and verbal communication skills;
- Experience coordinating capital and construction projects;
- Post-secondary education and currently working on or completed RPA;
- Organized, with the ability to prioritize and work well under pressure;
- Strong team player able to work with many levels of staff and client stakeholders.
