About the Role

The Invictus Games Vancouver Whistler 2025 is seeking a highly organized and detail-oriented Workforce Coordinator to join our team. As a key member of our workforce team, you will be responsible for managing all administrative elements related to the support of our staff, volunteers, and contractors.

Key Responsibilities
  • Manage invite lists, uniform requirements, and stock lists
  • Oversee the management of training logs for 1600 volunteers
  • Utilize the Games Management System (GMS) for volunteer rostering queries and amendments
  • Collaborate with Functional Area (FA) leads to understand volunteer staffing needs
  • Manage workforce planning data and change management process
  • Facilitate the process for requesting and approving shift changes, time-off requests, and substitutions
Requirements
  • 2 years proven experience in workforce scheduling, preferably in the major events or sports industry
  • Proficiency in scheduling software or tools (Rosterfy is an asset)
  • Strong organizational skills with the ability to multitask and prioritize competing demands
  • Excellent communication and interpersonal skills with the ability to collaborate effectively with diverse teams
  • Attention to detail and accuracy in managing schedules and data
  • Flexibility to adapt to changing priorities and unforeseen circumstances during the event
  • Knowledge of labour laws, regulations, and best practices in workforce management
